Example 1 (How I spent my summer)

Thank you for your recent letter. It is so wonderful to hear from you! I am very glad that you had a good vacation.

As for me, I also spent a wonderful vacation. First, I lived with my parents in the garden. The weather was hot and I swam a lot with my friends. We played soccer and rode bicycles.

And in August we went to Cyprus with my parents. It is a large island in the Mediterranean with a wonderful climate. We swam in the sea and were lying in the shade of huge eucalyptus trees. We walked along the mountain paths and played tennis. Anyway, it was a memorable summer.

How did your academic year begin? Are there newcomers in your class? Any new subjects?

I’m sorry, I have to go to the sports section.

All the best!
Ivan

Example 2 (About your favorite book)

Thank you for your letter. I'm happy to get it.

I agree with you that it’s a pleasure to turn over the pages of a book in a bookshop when choosing it. Besides you can read the fragments and look at the pictures.

As for my favorite novel, it is “One Hundred Years of Solitude” by Gabriel Garcia Marquez. It’s about the Buendia family who lives in South America. The novel is full of mysterious events and the characters have magical abilities. I think that the most important thing in a novel is its plot because it helps us to follow the characters and analyze their behavior.

Well, are you going to take part in the quiz show? What tasks will there be in the show? Where will it take place?

Best wishes,
Tanya

Example 4

Thank you for your letter! I’m glad to hear that you’ve passed your driving test! Congratulations!

I’m sorry I haven’t written for such a long time. I’ve been really busy with my new project. By the way, thank you for your brilliant idea. I really had the best presentation last time. I really appreciated your advice.

As for your question, I think all you have to do is just regular exercises. Don’t be lazy and try to find at least 20-30 minutes for your health every day. There is a rule of 30 minutes a day: if you do something at least 30 minutes a day you will have a result at the end of the week. For example, if you read 50 pages during this time, at the end of the week you’ll have total of about 350 pages. If we say that we don’t have enough time for it (as we usually do) we have 0 result at the end of the week. Besides, they say that it takes 21 days to form a new habit. So all you have to do is to take the bull by the horns and try it for just 3 weeks.

Unfortunately, I need to come back to my project. I hope my advice was helpful.

Hope to hear from you soon.

Take care,
Victor

In contact with

In the age of private capital and investment, learning a foreign language is not only an interest in the international community, but also a practical necessity. Many companies cooperate with foreign partners and, therefore, must maintain well-established contacts and mutual understanding. The main means of communication for people in the business sphere is official correspondence. Today we will figure out how to correctly compose English letter, observing the rules and framework of business communication. The material will also provide examples of what business correspondence in English looks like, examples of letters and phrases necessary for formal communication.

First, let's decide what text blocks a business letter in English contains. Let's look at each point in order.

Sender's address

The standard form begins with the sender's details, located in the upper right corner. The structure of a business letter presupposes a strict order in which data is written, so writing is always carried out in the established order. There are no punctuation marks at the end of lines.

date

The date is indented three lines after the sender's details. There are several acceptable formats for how to write a date:

  • October 29, 2017;
  • October 29, 2017;
  • October 29, 2017;
  • October 29th, 2017;
  • 29 Oct. 2017;
  • 10/12/2017 – October 12, 2017 (Europe and England)
  • 10/12/2017 – December 10, 2017 (America)

Recipient details

*Appeal is a required element. For men it is most often Mr, for women Ms. Also, when addressing a married woman, they use Mrs, and when addressing an unmarried woman, Miss.

Greetings

The first thing you need to put in the letter is a greeting phrase. Her style depends on the closeness of her acquaintance with her interlocutor. An official letter is characterized by standard phrases: Dear Mrs/Ms + recipient's last name. If the information of the interlocutor is unknown, you should use the combination Dear Sir or madam. When the message is intended for several persons, the plural is used: Dear Sirs, Dear Colleagues, etc. Informal communication allows you to use the name: Dear Mary. It is important to note the punctuation point: in English, the address is separated by a comma, and in American, by a colon.

Main part

Let's move on to the design of the main information component of a business letter in English.

Most often, the main text begins with a small introductory sentence, especially if this is not the first letter, but a response correspondence. Here are examples of introductory phrases in English with translation into Russian.

If you are conducting strictly official business correspondence, then never write abbreviated forms of the predicates I’m, you’re, etc.

Next, the goals and reasons for business correspondence in English are indicated in a logical sequence, and requests or expectations of any response are added. As a rule, for ease of reading, the text is divided into several small paragraphs (without using a red line/tab). We'll look at this block in more detail a little later using practical examples.

Conclusion

While maintaining a polite tone, you should end the letter using standard expressions gratitude, assurances in anticipation of a response, offers of cooperation, invitations to further communication. The final phrase is an important element business communication.

Example Translation
Please acknowledge receipt… Please confirm receipt...
If you have any questions, do not hesitate to contact us. If you have any questions, don't hesitate to contact us.
Thanking in advance. Thanks in advance.
We value your custom highly. Cooperation with you is very important to us.
Please contact us again if we can help in any way. Please contact us again if we can help you in any way.
Thank you and we are looking forward to hearing from you. Thank you, we are waiting for your response.

Signature

Before entering your details, you must use another polite form - wishes of all the best or an expression of respect. As a rule, business English has three types of similar phrases:

  • Yours sincerely Sincerely(to a familiar interlocutor);
  • Yours faithfully Sincerely(to an unfamiliar addressee);
  • Best wishes Best wishes(neutral statement);

The final statement is separated with a comma, and then a personal signature is given on a new line indicating the name, surname and position.

Additionally, additional attachments may be added to the text. Their presence is indicated at the end of the letter, immediately after the signature. The phrase begins with the abbreviation Enc. (enclosure – application), followed by a list of attached documents.

Here is a kind of business phrasebook that we compiled based on the results of studying the material: business correspondence in English, examples of letters and phrases for formal communication. We hope that with our tips you will improve your business communication skills and achieve mutual understanding with foreign partners! See you in new classes!

Correspondence is an old method of communication, which even now, in the age modern technologies, does not lose its relevance.

Do you agree that letters written by hand and sent by mail have their own special magic?

In England today there is a good tradition of exchanging letters. These could be congratulations on important events in life, invitations to a meeting, or just a letter of gratitude. There are no hard and fast rules on how to write such letters. But still, there is a certain etiquette that should be observed when writing personal letters.

From this article you will learn the rules for writing and formatting informal letters in English. Get acquainted with the structure and types of letters in English, and also find live examples and templates with translation.

Types of Informal Letters

Among personal letters, there are several main types, or rather, reasons for writing them:

  • Congratulations on your wedding day, birthday, birth of a child, graduation from university, etc.
  • Invitation to a wedding, housewarming or other celebration
  • Gratitude for an invitation, favor or good advice
  • Declining an invitation
  • Apology or condolences

Letter structure

The structure of a personal letter is simple and consists of several main parts:

Appeal

You can address the recipient by last name or first name if you have a close relationship with him. The choice of address depends only on the degree of your acquaintance with the addressee and can be anything. The most common options:

  • (My) dear... - (My) dear…
  • (My) dearest… - (My) dear… / (My) dearest
  • Dear Mr. Brown - Dear Mr. Brown
  • Dear Kate - Dear Kate

After the address, a comma or exclamation mark is placed, and the letter itself continues with a new paragraph.

On a note: Dear sir / Dear madam are used only in formal or business letters, and also when we do not know the name of the person to whom we are writing.

Remember that, unlike the Russian language, in formal letters it is considered bad form to put an exclamation mark after an address. So, a note to a friend can begin with “Dear John!..”, but in a wedding invitation it is better to write “Dear John,...”.

Opening phrase

This is a short sentence after the address in which you need to indicate the main purpose of the letter or the reason why you are writing to the addressee.

An introductory phrase could be gratitude for an invitation to a holiday, a request for a meeting, and so on. With this phrase we indicate our intentions towards the recipient of the letter.

Main part

Several paragraphs in which you can reveal the purpose of the letter in more detail. They are drawn up in free form and may contain clarifications, time and place of meeting, or other important information.

On a note: In official correspondence, it is not advisable to use abbreviations of auxiliary verbs, such as don"t, it"s, etc. Use the full form: do not / it is, etc. The same rule applies to invitations to events, congratulations and other types of formal letters. If you write to a close friend or to a loved one - abbreviations are quite acceptable.

Conclusion

One or two sentences that summarize the letter. In conclusion, you can express your intention to continue correspondence or ask the recipient for a response if you are sending an invitation to a meeting or event.

Farewell and signature

Similar to the address, it is better to choose the signature and final phrase based on the degree of closeness of the relationship with the recipient. The most common and universal phrases:

  • Love / With love / With all my love / Lovingly yours / Lovingly / All my love - With love (Loving you, your loving)
  • Yours ever / Ever yours / Always yours - Always yours (yours)
  • Sincerely yours / Yours sincerely / Sincerely / Yours - Sincerely yours
  • Faithfully yours / Faithfully - Best regards
  • Best wishes / With best wishes / (Best) regards - Best wishes
  • Cordially yours / yours cordially - Cordially yours
  • Devotedly yours / Truly yours / Yours truly - Devoted to you
  • Your very sincere friend - Your sincere friend
  • Lots of love / kisses - With love / Kisses

After any phrase, place a comma, and then the sender’s name on a new line.

Rules for writing letters in English and postal etiquette

  • Be polite and not too emotional

Whether you're writing to a friend in London or responding to an invitation to a party, be nice and friendly. Even if you refuse the addressee's request, do it politely. Also, there is no need to put a lot of exclamation marks and emoticons in emails.

  • Communicate the purpose of the letter from the beginning and write coherently

Briefly express the main idea and purpose of the letter in the first lines - this will help the recipient better understand what you want from him. In addition, you should not “jump” from thought to thought and write incoherently. Think over the text of the letter in advance and reveal the main ideas briefly and one after another.

  • Break the letter into paragraphs and do not overuse long sentences

Large text is much easier to read when it is broken down into short passages with main ideas. You should not overload the letter with long and complex sentences - it is better to break such phrases into several parts. The meaning will not suffer from this, but the structure of the letter will improve significantly.

  • Write correctly

Dear Charles,

It was good of you to think of writing to me, and I appreciate it very much.

I am indeed keeping well and enjoying comparative leisure. I try to divide my time about equally between reading and recreation.

The weather here in St. Petersburg has been rather changeable lately. In the morning the sun shines warmly, but by noon the sky clouds over and it usually starts to rain. Sometimes a storm blows up, but it never lasts very long.

It must be very hot now in Europe, so take care of yourself.

Dear Charles!

You are so good for writing to me, I am very grateful to you.

I feel good and enjoy relative idleness. I try to have time to read and have fun at the same time.

Congratulate George for me, I wish you all the best in your married life.

With tenderness,

Apologies:

Dear Leonard,

I must apologize for not writing sooner. I have been kept busy lately preparing for my exams. The last of my exams was successful yesterday, and now I am comparatively free again. I will try to keep in closer touch with my friends, and with you in particular.

I am very sorry.

Dear Henry

How are you these days? I haven"t heard from you for ages. I am writing to you because I really need your help. I am thinking of coming to Britain this summer to improve my English, and I would like to stay for about two months. Naturally I can "t afford a two months" holiday, and I am wondering if you know of any jobs I could apply for.

I am sorry to bother you with this. I have no idea where to make inquiries myself. It would be a great help if you could put me in touch with a firm or agency that I could write to.

Dear Henry!

How are you? Haven't heard from you for ages. I am writing to you because I really need your help.

I'm thinking about going to the UK this summer to improve my English and would like to live there for a couple of months. Naturally, I cannot afford a two-month vacation, and I am wondering if you have any place in mind where I could work.

Sorry to bother you, but I have absolutely no idea where to turn. It would help me a lot if you could put me in touch with a company or agency that I could write to.

Your friend,

We are deeply saddened by the news of your father's death. He was one of the best men, a fine citizen, a loyal friend, and a hearty companion. We all knew him well and loved him like a brother. Our family mourns with you.

Yours sincerely,

*From the manual by L.P. Stupina “Letters in English for all occasions”

Good day, friends.

Once while corresponding with his future partner from Ireland, one of my acquaintances used words and phrases like hereby And acknowledge receipt of in your messages. He was quite embarrassed when they met in Russia, and John (that was his partner’s name) joked (very delicately) about his excessive officialdom. Their further communication led to the fact that my friend’s business style became more natural, and with his help John began to understand the different semantic shades of Russian obscene language...:)

Today I will be happy to tell you how to correctly compose a business letter in English. You will become familiar with both the basic principles and rules of business correspondence and some of its nuances. Let's look at the main types of letters, the structure common to all, as well as the typical phrases often used in them. Perhaps, after reading this article, you will not become an ace in writing business messages, but you will definitely increase your level.

Contents:

Nowadays, proper formatting, proper construction and a well-chosen style of business writing are very important. By the way you conduct business correspondence, your partner creates the first impression about your professionalism and the solidity of the company you represent.
Let's take a look at some of the features of preparing such messages.

Basic types of business letters

  • Congratulations –
  • Offer -– sent to your potential business partner with your terms and proposals for cooperation.
  • About hiring -– notifies you that you have been hired.
  • Statement -– contains your resume and your offer as an employee.
  • Refusal-– a businesslike “turn-and-go” response to your statement or proposal.
  • Complaint -– contains a complaint or claims about the quality of the purchased product or services provided.
  • Letter of apology –- This is a response to a letter of complaint.
  • An inquiry-– sent when it is necessary to obtain information about a service or product.
  • Letter of response to a request –– it actually contains the requested information.
  • Letter of gratitude -– here, it seems, everything is clear.

There are also a huge number of types and subtypes of business messages ( Order, Response to Order, Invoice, Statement etc.), and it will take more than one article to pay attention to the majority.

Kind regards is an excellent and serious guide from a foreign author, a communications specialist, who has collected in this book her and others’ experience of conducting business correspondence in English. There you will find many live examples and tips.

Business correspondence in English is also a popular book. There are many samples, even more common clichés, as well as a lot of advice and recommendations from the authors. As they say, study and apply!

General principles

Graphic design must comply with the following:

  1. All sentences start from the same vertical line.
  2. The text is divided into paragraphs without red lines.
  3. To simplify perception, we divide the written text into semantic blocks of approximately equal size.
  4. The white space should evenly surround the text. Don't put one or two lines of text at the top of the page if the letter is small. Do not print to the bottom edge of the sheet and do not narrow the margins; if the message is long-winded, it is better to use the second page.

By style:

  1. Do not use colloquial abbreviations in correspondence - write You are instead of You"re, etc.
  2. Do not solve two problems at the same time in one letter - it is preferable to write two letters.
  3. Decide which tone will be more appropriate - formal or relaxed.
  4. It is necessary to take into account those rules that we do not have, but have a specific meaning for them, national and territorial characteristics.

Components

And now we will analyze the so-called skeleton of a business letter, its structure and arrangement of elements:

  • Heading(a cap):
    A) The sender's address is in the upper left corner. If the letterhead is branded, then the address has already been entered.
    B) The recipient's address is on the left, below the sender's address. Format: from smallest to largest (Name, house number, street, city, zip code, country).
IN) Date - three lines below the recipient's address or in the upper right corner. Format: day/month/year. No commas are used.
  • Greetings(appeal), or how to start a letter.
  • the main idea(the main text of the message) - in the central part of the letter.
  • Final phrase(expression of gratitude and further intentions).
  • The final formula of politeness; Signature; First name, last name and position of the sender.
  • The attachment- indicates that the letter contains Additional materials(advertising booklet or brochure).
  • May contain P.S., initials of the performer.

Emails

Everyone's favorite e-mail messages account for about 80% of business turnover. It differs from ordinary correspondence in being more specific and concise. They try to use unnecessarily long phrases avoid In addition, they use acronyms (phrases formed from the first letters of a phrase), as IMHO. Electronic correspondence is characterized not only by personal messages, but also by mailing lists (the BCC field is used when confidentiality is required). Well, the main difference is that from transmitting confidential information via e-mail most prefer to abstain.

Of course, in the era of “OK Google!” you don't have to search difficult paths and simply paste the typed text into the online translator. You will most likely be understood, but you are unlikely to achieve a favorable impression. Remember, the quality of your business correspondence is an indicator of the quality of your company.

An English formal letter is not difficult to write, but you need to know the order in which it is written, the position of each of its individual parts, and how it should look as a whole. Below you can find examples of formal writing in English. We hope they help you write your own letter.

Example of an official letter in English No. 1 (regarding an announcement of admission to courses)

Dear Sir or Madam,

I am writing to enquire about language courses organized by your school. I found out information about it in local newspaper and I would like to know more.

Even if Icannot certify my knowledge of English, after years of learning the language at school I can safely assume that I am an upper-intermediate student. Are you able to offer me any course that would be good for me?

I understand from your advertising that your courses are free. Are they free for everyone, or just only for students from your school?

The last question I have concerns about your methods of teaching. As I particularly hope to improve my fluency, I would like to know how much attention is paid and what methods are used by the school teachers to develop the skill of speaking. It is very important for me, because my fluency is the worst side of my English.

I am looking forward to hearing from you.

Yours faithfully,
XYZ

Example of an official letter in English No. 2 (with questions about an advertisement in a newspaper)

Dear Sir or Madam,

I am writing to ask about the holiday apartments in the Golden Sands advertised in “Vacations Abroad” magazine this month.

In your advertisement you mentioned that all the apartments are self-catering. Could you tell me what cooking facilities are available in the kitchen? Could you also tell me if cooking utensils are also provided?

I noticed from your advertisement that the beach is quite nearby. However, I would also like to know if the apartments have an access to a swimming pool.

I would be very grateful if you could send me a list of apartments and prices with a view to making a reservation in July.

Yours faithfully,

Tom Smith

Example of an official letter in English No. 3 (regarding the announcement)

Dear Sir or Madam

I am writing to you because I saw your advertisement in the net and at first sight it looked interesting. I am interested in this advertisement deeper because I like rock music, so I think I will feel comfortable in this place.

I could be a ticket seller because I am good at maths. Also I could be a person, who provides rock stars with everything they need because I am a helpful person.

I would like to have free drinks and snack during the festival. Of course, I promise I would not let you down and do what you ask for.

If you can, please send me some more information about accommodation conditions and transport to the gig place.

I look forward to hearing from you.

Yours faithfully,

Example of an official letter in English No. 4 (regarding a job advertisement)

Dear Sir or Madam,

I am writing with regard to your adventisement, which appeared on your website: ? Future graphics? on 20 July 2013. I would like to apply for the post of computer graphics artist.

I enclose my CV with the details of my previous work experience. As you can see in the document, I have been working as graphic designer for two years and have a diploma for ?The best worker?. I can use Photoscape, Gimp, but I can learn new programs, too.

I am a very hard working person, thus working with me is effective. I am creative and have many good ideas. My level of proficiency in English is pre-intermediate.

I have worked with companies in England, China and India, I have no problems in communicating with people from these countries. Could you please send me more information on that post?

Thank you for considering my application.

I look forward to hearing from you,

Yours faithfully,

Example of an official letter in English No. 5 (with questions about the announcement)

You want to attend a course in English and American Studies in and English speaking country and you see this section in a college prospectus:

SCHOLARSHIPS
Every year, two scholarships are offered to candidates from overseas who can show how our one-year course would help their career. Scholarships cover fees, accommodation and food, but not transport or personal spending money. Apply in writing, explaining why do you think you deserve a scholarship.

Write your letter. Do not include any postal addresses. Write your answer in 120-180 words in an appropriate style.?

Dear Sir/Madam,

I would like to apply for one of the scholarship programs I saw advertised in your prospectus. Presently, I am training to be a secondary school teacher of English and I am finishing my course at the end of June. However, I feel I still have a lot to learn about the language and culture of The English-speaking country.

The reason I am applying for a scholarship is that I cannot afford the cost of studying abroad. I have no income except for my student grant, so if I am fortunate enough to be given the scholarship, I would have to work part-time to save some personal spending money. My parents will borrow some money for my airfare if I am succesful.

I would appreciate being given the opportunity to study at your college and would be very grateful if you would consider my application.

Yours faithfully,

Example of an official letter in English No. 6 (complaint about a purchased product)

Dear Sir Or Madam

I am writing to complain about a denim vest that I bought from your online shop last month.

When I took it out of the box, I was very unhappy to find that in different color. As if this were not enough, this denim vest was too small.

I had a similar situation last year when I bought a dress online. It was too big. I wrote an e-mail to this company about this problem and they sent me another dress in the right size.

You can replace this vest for the right one or if it will not be possible I want to get a full refund.

I am enclosing the receipt.

I look forward to hearing from you in the near future.
